Packing List for China Imports to Nigeria: Guide

A packing list for China imports records what is inside each package, how many packages are being shipped and their weights and measurements. Check it against the goods before dispatch so your supplier, warehouse and Nigerian receiving team are working from the same record.

For a buyer in Lagos, Kano, Aba or Port Harcourt, this can answer a costly question: did the missing products leave the supplier, reach the China warehouse or enter the final shipment?

Ask for a draft early and a confirmed version after packing is complete.

What is a packing list and why does it matter? #

A packing list maps the products to their physical packages. Freight teams use it when checking cargo, preparing shipment information and planning handling. Customs officers may also use it when examining the goods.

Nigeria's Trade Information Portal includes a packing list in its import document checklist. Confirm the requirements for your particular goods and procedure with your clearing agent before shipment.

The commercial invoice records the goods sold and their transaction values. The packing list explains how those goods are packed. Keep their product descriptions and quantities consistent.

Our commercial invoice guide explains the transaction details to check separately.

For example, an invoice saying “75 desk organisers” does not tell a warehouse whether those units arrived in three, five or seven cartons. The packing list should make that clear.

What details should your Chinese supplier include? #

Request a readable document linked to the relevant invoice and shipment.

A useful checklist includes:

Ask the forwarder and clearing agent whether additional information, signatures or stamps are needed for the intended procedure. Do not assume one online template fits every shipment.

Keep pieces, pairs and sets explicit. “100 units” creates a problem if the supplier means 100 pairs while the invoice means 100 individual pieces.

Match the package identification to the shipping marks agreed with your warehouse.

What does a completed packing list look like? #

Use this fictional packing list for China imports to understand the relationship between the figures. Replace the details with measured information for your shipment.

Example shipment: five identical cartons.

Add the preparation date and other details requested by the receiving parties. This is an illustration, not an official government form or an approved document for a real shipment.

Grouping cartons 1–5 works here because they have identical contents and measurements. For mixed cartons, identify what is in each one or each genuinely identical group.

Keep different product models and colours traceable rather than combining them under “assorted goods”.

How do you check weights, dimensions and CBM? #

Net weight describes the goods without the packaging. Gross weight includes the goods and their packaging. Confirm the recorded basis if a supplier's terms are unclear.

In the example, five cartons at 9 kg gross each give 45 kg. The 37.5 kg net figure should not be entered as the packed shipment's actual weight.

Measure the final package's outside dimensions and state the units.

With dimensions in centimetres:

Length × width × height ÷ 1,000,000 = volume in CBM.

For one example carton:

60 × 40 × 40 ÷ 1,000,000 = 0.096 CBM.

For five identical cartons:

0.096 × 5 = 0.480 CBM.

If the cartons are palletised or crated, obtain the final outer measurements and packed weight. Identify whether the shipment is five loose cartons or one pallet containing five cartons, and have the shipping team record the package hierarchy consistently.

CBM and gross weight do not by themselves establish the freight bill. Ask about chargeable weight, measurement rules and minimum charges. Our volumetric-weight guide explains that distinction.

What changes when a warehouse repacks your goods? #

The final packing record should describe the packages that actually leave the warehouse.

Suppose two suppliers send eight cartons and the warehouse repacks the goods into five. Keeping “eight cartons” on the final list makes it harder to reconcile dispatch, freight and Nigerian receipt.

Ask the warehouse for:

Preserve the original supplier packing lists and invoices. The warehouse's consolidated record should connect them to the final packages without inventing a different supplier or transaction.

Our order-consolidation guide explains how to manage those separate arrivals.

Also distinguish a carton count from a product count. Recording five sealed cartons establishes the package count; it does not prove that all 75 products were checked. Agree any opening, counting or testing through our quality inspection guide.

How do you correct a packing list before shipment? #

Compare your packing list for China imports with the accepted order, invoice, warehouse record and final packing photos.

Check the product descriptions, quantities, package numbers and totals. Ask the issuer to resolve differences and circulate the revised document to everyone using it.

For a partial shipment: if only four of the five example cartons will leave, the packing list should show those four cartons and 60 pieces. Keep the remaining carton and 15 pieces on a separate outstanding-goods record.

For a shortage: if five cartons were dispatched but the warehouse records four, obtain the delivery and receiving evidence before deciding where the loss occurred. Preserve the records rather than changing the expected total to hide the difference.

For a correction after booking: tell the forwarder immediately. It should explain whether carrier records or declarations also need amendment, who handles that and any applicable charges.

Send your supplier this instruction:

Please send the final packing list linked to our invoice before dispatch. Identify the products and quantities in each carton, package numbers, net and gross weights, outside dimensions and shipment totals. Please use the agreed shipping marks and tell us if the final packing differs from the draft. Send the revised document and packing photos for review.

What else should Nigerian importers know? #

Is a packing list the same as a commercial invoice? #

They serve different purposes. The invoice records the sale and values; the packing list records the physical contents and packaging. Keep their shared details consistent and provide the documents required for the shipment.

Should a packing list show product prices? #

Prices normally appear on the invoice. Some contractual or shipment procedures may request values on the packing list too. Ask the receiving party and use accurate figures wherever values are required.

Who prepares the packing list? #

Ask the supplier or exporter for the original shipment record. If a warehouse changes the packing, agree who issues the updated or consolidated record and how it links to the original supplier documents.

Can I use one list for several suppliers? #

A consolidated record can help track the final shipment, but retain each supplier's invoice and packing information. Have the forwarder and clearing agent confirm the documents needed for your particular arrangement.

Does the packing list prove that goods passed inspection? #

It records what is declared as packed. Support any claim about actual quantities, condition or testing with the relevant checking records. Ask what was physically examined and what was taken from supplier information.

What if the supplier gives me only Chinese descriptions? #

Request clear English descriptions with the model and unit of quantity, while retaining the original records. Confirm technical meanings and have the shipping team review the wording before it enters shipment documents.

Does a packing list replace product approvals? #

Check the applicable Nigerian import requirements separately. Start with our guide to the certificate your product needs, then confirm the requirements for the actual goods and shipment.

ChinaBridge Global can help you discuss shipment records and receiving arrangements. Send the draft invoice, packing list, product details and Nigerian destination. Agree the document-review scope, warehouse checks and charges before dispatch.
