Nigeria National Single Window: Importer Guide

Nigeria National Single Window helps traders process trade-related information and agency requirements through a digital entry point. For Nigerian importers buying from China, the practical task is knowing which approval you need, where it belongs and what must happen before shipment.

An account, a submitted application and an approved shipment document are different things. Keep those stages clear when speaking with your supplier, bank and clearing agent.

This guide was checked on 26 October 2026. It focuses on preparing a formal import transaction; requirements depend on the goods and the import arrangement.

1. What does the National Single Window do for importers? #

The National Single Window, usually shortened to NSW, brings trade submissions and participating agency processes into a shared digital environment.

Start at the official NSW website. Use the importer/exporter route for your trading business; the public registration form directs licensed customs agents and freight forwarders to a separate route.

Do not treat registration as permission to import every product. You still need to establish the correct product description, classification, applicable controls and responsible parties.

Before paying a Chinese supplier, ask:

An invoice saying “electronics” or “general goods” is not enough to settle a product-specific compliance question. Get the model, purpose, material and technical details needed to describe the goods properly.

2. How do you register as an importer? #

The public NSW form asks for business and applicant information, including Tax ID/TIN, registration details, business name and address, contact information and supporting documents.

The official FAQ lists typical documents such as CAC records, identification and proof of address. Follow the current requirements displayed for your business category rather than assuming every applicant uploads an identical bundle.

Prepare the application in this order:

  1. Gather the business records and identification requested.
  2. Check that names, addresses and registration details agree.
  3. Open the importer/exporter registration route on the official site.
  4. Complete the required fields and attach legible documents.
  5. Review the summary, submit and retain the reference.

At the check date, the public registration form displayed a 1 MB maximum upload size and accepted PDF, JPG or JPEG files. This is a registration-form limit; other modules may have different limits.

Reduce file size without making names, numbers or stamps unreadable. Do not crop away information needed to identify the document.

Use a business-controlled email address and phone number. If somebody helps you apply, agree who receives notifications and how you retain access to the business account.

3. Does NSW replace Form M, PAAR or B'Odogwu? #

Do not assume every step has become one application. The official Nigeria import procedure identifies separate roles:

Your agent should explain how the references and documents connect for your shipment. A submission reference in one process is not proof that the next process has been approved.

Use our Form M guide for the bank-related stage and our PAAR guide for the assessment stage.

Ask for the actual status, not simply “it is in the system”. Specify whether the outstanding issue concerns registration, an agency document, certificate activation, bank processing or Customs.

Confirm the current route with the responsible bank or agency if an older tutorial directs you elsewhere.

4. What changed for SONCAP and NAFDAC applications? #

A useful Nigeria National Single Window distinction is certificate issuance versus activation.

SON's published migration notice states that, from 27 March 2026, the specified import-permit and SONCAP-default applications moved to NSW. For certificates generated by its accredited offshore partners, issuance continues on the SON portal while activation for Form M, PAAR and clearance must be completed through NSW.

Having a certificate PDF therefore does not settle whether the required activation is complete. Ask for its reference, validity, scope and activation status.

For a Lagos trader importing a SON-regulated appliance, a useful check is: does the certificate cover the actual product and importer, and can the bank or agent use it for the next required step?

Our SONCAP requirements guide covers the wider certification process.

NAFDAC also publishes NSW service-level objectives covering document review, queries, approvals and inspections. The product-specific requirements still matter; a portal submission does not replace the supporting approvals applicable to the goods.

Read our NAFDAC guide for imported products before assuming that a supplier's certificate or foreign registration covers Nigeria.

5. Which documents should you prepare before shipment? #

Build a shipment file before goods leave China. Confirm the required set with the bank, agency and agent handling your transaction.

Depending on the shipment, the file may include:

Some documents arise later in the transaction. Identify what is needed before dispatch and what follows shipment, rather than asking the supplier to create a complete final file prematurely.

Check the importer name, supplier name, description, model, quantity, currency and values across the relevant records. Legitimate changes should be explained and corrected through the proper process.

Our proforma-invoice guide explains what to settle with the supplier early.

Keep a simple progress record containing the application reference, responsible party, current status, next action and due date. Save the submitted version and any later amendment.

If a forwarder quotes an inclusive shipping price, ask which formalities and documents it covers. Establish who is responsible for regulatory requirements before authorising collection or loading.

6. What should you do if an application is delayed? #

First identify the stage and the party responsible. Waiting for an account approval is different from answering an agency query or resolving a missing certificate activation.

Before escalating, check:

NAFDAC's published objectives include short trader-response targets: six hours for master-document queries and three hours for consignment-document queries. These are published service objectives, not a promise that an entire shipment will clear within those periods.

Monitor notifications and arrange a responsible person to respond. Ask the reviewing agency how its requirements apply to your particular application.

The NSW contact page lists helpdesk@nsw.gov.ng, telephone 02018870011 and WhatsApp 07047002215 at the check date. Recheck the official contact page if details change.

A useful support message is:

“Business name: [NAME]. Application reference: [REFERENCE]. Application type: [TYPE]. Submitted: [DATE/TIME]. Current status or error: [EXACT MESSAGE]. We completed [LAST ACTION]. Please confirm the outstanding requirement and next action. A screenshot with unrelated personal information removed is attached.”

For clearance support, use our guide to choosing a clearing agent for China goods in Lagos. Agree the scope, fees and reporting arrangements in writing.

7. What else do Nigerian importers ask about NSW? #

Is National Single Window registration free? #

The official NSW FAQ says registration is free. Agency services, transaction charges and professional assistance can carry separate costs. Ask for official charges and the agent's service fee to be itemised rather than combined as an unexplained registration payment.

How long does account approval take? #

The public FAQ gives a typical estimate of three to five business days after complete, accurate documentation. Treat that as an estimate, not a guaranteed deadline or a shipping schedule. Track your reference and respond to requests promptly.

Is an NSW account the same as an import licence? #

An account provides access to platform services. It does not establish that a particular product is admissible or that all necessary permits, certificates and bank or Customs steps are complete.

Do I still need a licensed customs agent? #

The official import-procedure guidance distinguishes processing your permits from Customs clearance and says a licensed customs agent is required for clearance processing. Confirm the agent's role and authorisation for your transaction.

Can I register using my phone? #

The portal FAQ describes a web-based service optimised for mobile browsers. A larger screen may make document review easier. Use the official site, retain submission records and check that every upload remains legible.

Does approval guarantee clearance within 24 hours? #

Do not use a broad clearance target as a guaranteed arrival-to-delivery promise. Agency review, queries, payments, inspections, Customs release and collection can involve separate steps. Budget and plan around your actual shipment requirements.

What if I buy through a consolidation agent? #

Ask who is the importer of record, whose documents are used and which regulatory responsibilities the service includes. Do not assume that a per-kilogram shipping payment explains the compliance arrangement or gives you access to another company's account.

Before your next order, ChinaBridge can help you organise supplier details and a document-preparation plan; agree the scope and fees first. Keep the Nigeria National Single Window records connected to the bank, supplier and shipment file.
