Export Samples from Nigeria to China: Buyer Guide
Export samples from Nigeria to China can help a buyer assess your produce before discussing a larger order. Prepare them around three decisions: whether China permits the exact product and shipment route, which Nigerian paperwork applies, and what the buyer will test.
A free sample still needs an accurate description and customs value. Small quantities do not automatically remove agricultural quarantine requirements.
This guide focuses on agricultural evaluation samples sent by Nigerian exporters. It was checked on 26 October 2026; planting material, animal products and processed foods can follow different requirements.
1. What should you confirm with the buyer first? #
Ask what the buyer actually needs to evaluate. A purchasing team checking colour and size may need a different sample from a laboratory testing contaminants or a factory assessing processing performance.
Before collecting produce, agree:
- The exact commodity, variety and processing state.
- Whether the purpose is evaluation, laboratory testing or another declared use.
- The quantity needed for each test and any repeat test.
- The company receiving it and the person handling clearance.
- The required specifications and written feedback date.
Obtain the consignee's full company name, delivery address, postcode, telephone number and email. Ask whether a separate importer or broker will handle entry. An office contact is not necessarily equipped to clear agricultural goods.
Use our guide to finding Chinese buyers before repeatedly paying to send samples to unverified contacts.
Keep a sample record showing supplier, location, lot reference, collection date and processing history. Use a representative sample from stock you can actually supply; agree the sampling method with the buyer or laboratory.
2. Does a free agricultural sample avoid Chinese entry rules? #
Do not assume it does. China's animal and plant quarantine law covers regulated goods entering through trade, gifts and other arrangements. Chinese Customs guidance also identifies product-dependent quarantine documents and permits.
Some sample inspection exemptions exist, but they do not establish a blanket exemption from agricultural quarantine or entry restrictions.
Have the Chinese importer or broker confirm:
- Whether the product from Nigeria is admissible for this declared purpose.
- Which customs classification and entry route apply.
- Whether advance permits or particular certificates are required.
- Whether importer, producer or facility registration applies.
- Whether the intended arrival point can handle the consignment.
Raw crop, roasted product, powder and seed intended for planting are different descriptions. Never select the easiest description merely to make a booking succeed.
Our GACC registration guide explains the broader registration topic. A registration number alone does not prove that your exact sample shipment is eligible.
If someone proposes a special research route, ask for its actual conditions and approvals before dispatch. Calling ordinary buyer evaluation “scientific research” does not establish eligibility.
3. Which Nigerian export documents do samples need? #
Nigeria's National Single Window export guidance distinguishes commercial exports using Form NXP from non-commercial exports using Form NCX.
Ask your authorised dealer bank and customs agent to confirm the correct treatment for an unpaid evaluation sample. Explain whether anyone pays for the goods, who pays freight and whether proceeds are expected. Complete the applicable process before dispatch; writing “sample” on the parcel does not replace it.
NEPC identifies exporter registration as the first step for formal export business. Our NEPC registration guide covers that foundation.
For agricultural goods, contact NAQS early with the product details and China's requirements. Its guidance calls for regulated agricultural exports to undergo applicable quarantine inspection and certification. A phytosanitary certificate addresses plant-health requirements; a buyer's quality report serves a different purpose.
Processed food or animal products may involve other competent authorities. NEPC's document guidance identifies different certificates for different product categories; do not buy every certificate on a generic list.
Prepare a consignment file containing:
- Buyer correspondence and agreed sample purpose.
- Applicable exporter registration and NXP or NCX documentation.
- Accurate invoice and packing list.
- Required product certificates and destination permits.
- Transport details and the eventual air waybill or other carriage document.
Use the Nigeria export documents guide for the wider document chain. Confirm the list for this shipment rather than copying a container-export checklist unchanged.
4. How should you describe, value and pack the sample? #
When preparing export samples from Nigeria to China, make the invoice, package contents, packing list and booking information agree.
“Sample” alone is too vague. State the actual commodity, processing state, intended use, quantity, net weight and country of origin. Add a botanical name if the applicable requirements call for it.
For a genuine free sample, explain that no payment for the goods is due and state a defensible customs value. FedEx's documentation guidance says zero customs value is unacceptable even when there is no sale transaction. Ask the carrier or broker which invoice format the destination accepts.
Do not invent a sale or enter an artificially low figure. Retain the basis used for the declared value.
Have the laboratory, carrier and relevant authority confirm suitable packaging before sealing. The material must protect the sample and meet applicable food-contact and transport requirements. Do not add soil, leaves, untreated wooden packing or unrequested produce as presentation materials.
Label each inner sample with its agreed reference and lot identity. Photograph the contents and sealed package; retain a matching sample under suitable storage conditions where feasible. Those records help investigate later differences without proving that either party caused them.
5. What should the sample budget and testing agreement cover? #
Agree who pays before you book. A buyer may pay for the sample, freight, testing or none of these; there is no universal arrangement.
Build the budget from written quotations covering:
- Produce, sample preparation and suitable packaging.
- Applicable inspection, certification and documentation.
- Collection, transport and clearance services.
- Any destination taxes, charges or laboratory fees.
- Storage, return or disposal costs if delivery fails.
Confirm which costs the quotation includes. A low transport price may leave destination expenses payable separately.
Keep sample costs separate from your later bulk-order quotation. The cost per kilogram of a small parcel does not establish the economics of a container shipment.
Agree the test method, laboratory, parameters, acceptance limits and report deadline. Relevant checks depend on the commodity; possible parameters include moisture, foreign matter, residues or microbiological results. Do not invent pass limits without the applicable standard and buyer specification.
A successful sample does not create a purchase order. Set the later quantity, price, delivery and payment terms separately; see getting paid by a Chinese buyer.
6. Which carrier should you use, and how long will it take? #
Choose a carrier or forwarder that confirms acceptance of the exact commodity, processing state, origin, destination and declared purpose. Obtain this confirmation before paying or handing over the goods.
Ask who handles export clearance, Chinese clearance and last-mile delivery. Share document drafts with the receiving importer or broker before booking.
You can adapt this message:
“Please confirm you can receive [commodity and processing state] from Nigeria for [purpose]. Required quantity: [amount]. Please identify the importer, applicable permits and certificates, accepted invoice description, packaging requirements, destination charges and test method. Please confirm your clearance arrangements before we dispatch.”
There is no dependable universal Nigeria-to-China sample timeline. Your schedule must include preparation, any permits and inspections, carrier acceptance, transport, clearance and final delivery. A carrier's transport estimate may exclude time spent waiting for documents or regulatory release.
After dispatch, share tracking and document copies. Respond promptly to requests through verified carrier or broker channels. If held, obtain the written reason before sending replacement goods.
For the later commercial shipment, return to the Nigeria-to-China export guide. Export samples from Nigeria to China are one stage in assessing a deal; keep their records connected to the eventual supply contract.
7. What else do Nigerian exporters ask about samples? #
Can I send one kilogram without documents? #
Weight alone does not establish an exemption. Confirm the exact commodity, purpose, entry route and required documents with the carrier, Nigerian authorities and receiving importer before dispatch.
Do I need Form NXP for a free sample? #
Nigeria's current export guidance uses NCX for non-commercial exports and NXP for commercial exports. Ask your bank and customs agent to classify the actual arrangement, including any payment for the goods.
Is GACC registration enough to send agricultural samples? #
It does not settle every requirement. The importer must confirm commodity eligibility, applicable registration, permits, certificates and clearance arrangements for the specific sample.
Can I declare a free sample at zero value? #
Do not use zero simply because the buyer receives it free. Declare an appropriate customs value and explain the genuine no-charge purpose using documentation accepted for the shipment.
Can I carry the sample in my luggage instead? #
Passenger baggage has its own declaration and quarantine rules. It is not an automatic alternative to an approved cargo route. Check Chinese Customs requirements for the exact item before travelling with it.
Should the buyer pay the sample delivery cost? #
Negotiate that commercially and record the agreement. Independently verify unexpected registration or release-fee requests before paying. A large promised order does not establish that a fee request is legitimate.
What if the buyer rejects the sample? #
Request the report, sample reference, method, limits and reason. Compare them with the agreed specification and retained records. Identify the issue before paying for another sample or promising a bulk shipment.
