Inviting Entity vs Inviter: China Visa Form Guide

Inviting entity vs inviter on a China visa form comes down to the role and the field label. An entity is an organisation; “inviter” can refer to the inviting person or organisation. Enter the actual inviting party supported by your documents.

If a separate field asks for a contact person, use the genuine contact's details there. Do not automatically replace an inviting company's name with its salesperson's name.

This guide was checked on 26 October 2026. It uses Nigerian business-visa examples; the requirements for other travel purposes can differ.

1. What is the difference between an inviting entity and an inviter? #

An inviting entity is an organisation involved in inviting you, such as the company hosting a genuine business visit.

An individual inviter is a person inviting you under the circumstances and visa category that apply to the trip.

However, official guidance also uses broader expressions such as “inviting party” or “inviting individual/entity”. Read the complete label instead of assuming “inviter” always means a private individual.

China's official visa instructions distinguish the inviting entity or individual and describe the information an invitation should contain.

For an ordinary supplier visit, identify the company issuing the invitation and establish the role of the person communicating with you.

Our China visa invitation letter guide explains the wider document requirements. The form entry should fit the actual invitation and application route.

2. What should you enter for a company invitation? #

Read what each field requests before copying information.

Your current form may ask for the inviting organisation or person, relationship, telephone, email and address. Field numbers and prompts can vary, so use the instructions presented in your Nigerian application route.

For a company-based business invitation, confirm:

Ask the host to confirm its Chinese legal name and the English version used in the invitation. Follow the form's language instructions rather than inventing an abbreviation.

If a field specifically requests a registration code, obtain the correct code. Do not substitute a code for a requested company name simply because a guide for another application route says to do so.

Our China visa form guide provides wider preparation context. Start the application through the official route currently linked by the Nigerian Embassy, Consulate or Visa Application Centre.

3. How do company, contact person, signatory and applicant differ? #

Keeping these roles clear prevents avoidable confusion:

One person may perform more than one role. That does not mean their name belongs in every field.

For example, a Nigerian buyer may discuss a factory visit with a sales manager. The invitation is issued by the company, signed by an authorised person and gives the sales manager as the contact.

Where the form asks for the inviting company, use the company details. Where it asks for the named contact or signatory, follow that specific request.

A hotel booking, Nigerian employer and Chinese host can also appear elsewhere in the application. Keep each address and organisation in the role the form requests.

4. How should you match the details across your documents? #

To resolve inviting entity vs inviter, keep the invitation beside the form and compare each relevant entry.

The published guidance for Nigerian citizens requires the invitation to explain the applicant, visit and inviting party.

Check consistency in:

Registered address, factory location and accommodation address can be different. Ask the host to explain the relevant locations and enter each where requested.

For example, staying in Guangzhou while visiting a supplier in Foshan does not make your Guangzhou hotel the inviting company.

Use our China visa documents checklist to review the wider file.

Message you can send the host:

“Please confirm the inviting company's full legal name, the name to use on the invitation, contact person, telephone, email and address. Please also confirm the visit purpose, dates, locations, relationship and expense arrangements.”

Resolve differences before submission rather than choosing whichever spelling appears most often.

5. Are TE letters and Canton Fair invitations entered the same way? #

Follow the requirements for the actual invitation route. A document's title, number and issuing authority are not interchangeable with the host's name.

The Nigerian guidance includes TE or Verification Letter requirements and an exemption for non-first-time visitors. Confirm how the current requirements and any applicable special notice affect your case.

If a field asks for an invitation number, enter that information there. Do not use a TE reference number in a field asking for a company's name.

Special event procedures can give specific instructions. The Abuja centre's published 140th Canton Fair notice instructed applicants under that procedure to use “140TH Session of China Import and Export Fair” as the inviting party.

That notice listed an application window of 7 September–16 October 2026. As checked on 26 October 2026, that published window had ended.

Do not copy a special event entry into a new application without confirming that the procedure applies. Our Nigeria visa application guide explains the broader preparation process.

6. What should you do if you already entered the wrong details? #

First identify the application stage and the exact error.

If the application remains a draft, check whether the account permits correction before submission. Review the supporting invitation at the same time.

If the application has been submitted, follow the official account's instructions. Do not assume every field remains freely editable.

The Lagos online-service notice explains that applicants can be asked to correct the form or supplement documents during preliminary review.

Our China visa application status guide helps distinguish the stages.

If the relevant field cannot be corrected, contact the appropriate centre with your application reference and a concise explanation. Follow its instructions about correction or any replacement application.

A correction request should not automatically be treated as a final visa refusal. Our visa rejection guide explains the wider issues to review.

7. What do Nigerian applicants commonly ask about these fields? #

Is the inviter always an individual person? #

No. Official guidance uses inviting-person and inviting-entity language. Read the whole field and identify the actual party supporting your visit.

Can I enter the salesperson's name? #

Use it where the form asks for that genuine contact. If the company is the inviting party, do not automatically replace the company name with the salesperson's name.

Should my Nigerian company be the inviting entity? #

For a field asking for the inviting party in China, use the actual Chinese host. Your Nigerian employer or business belongs in the sections requesting that information.

Is the TE number the inviting company name? #

No. A reference number and a company name are different details. Put each in the field that specifically requests it.

Can I use my hotel as the inviter? #

A hotel reservation does not automatically make the hotel your inviting party. Use the actual documented host and follow the requirements for your visa category.

Can I select not applicable because I do not have an invitation? #

Do not use that option to avoid required information. Confirm the appropriate category and documents with the centre before proceeding.

Am I the inviter or the invitee? #

You are the applicant or invitee. The inviting person or organisation is the party inviting you to China.

ChinaBridge Global can help you review inviting entity vs inviter details, compare the application with the invitation and organise questions for your actual host.

Send the relevant field wording, invitation and the issue you need clarified. Our document-review assistance is private; visa decisions remain with the consular authority.
