China Inspection Report: Guide for Nigerian Buyers
Read a China inspection report before approving your goods. Check the batch, sample size, defects, test limits and corrective actions as a Nigerian buyer.

China Inspection Report: Guide for Nigerian Buyers
A China inspection report should connect the inspected goods to your order and explain what was checked, what failed and what remained untested.
A large “PASS” on the first page is only the start of the review.
For a Nigerian importer, a useful report helps answer whether the goods match the agreed specification and what must happen before the next payment or shipping milestone.
This guide was checked on 26 October 2026. Keep your purchase order, approved specification and inspection instructions beside the report while reading it.
What should a China inspection report tell you? #
Request the complete document, including photographs, attachments, results and inspector comments. A screenshot of the summary can leave out important qualifications.
Check the issuing company, report reference, inspection date, location and document version. Confirm that you have the final report if earlier drafts were circulated.
The report should make its assignment clear: the products, lot presented, inspection type, agreed checks and recorded findings.
If authenticity is uncertain, contact the issuer through its official channel. For example, SGS provides an official document-verification form for SGS-branded reports and certificates.
Verification of a document's origin is separate from deciding whether its findings satisfy your order.
Our quality-inspection guide explains the inspection stages and booking arrangements that should have been agreed before this review.
How do you confirm that the report matches your order? #
Compare the report against your written order rather than the supplier's general product catalogue.
Check these details:
- Buyer and supplier identities.
- Purchase-order or production reference.
- Exact product models and specifications.
- Ordered, presented and inspected quantities.
- Colour, size or other variant breakdowns.
- Inspection location and date.
- Packing and carton identification.
A report on one model does not establish that a different model has been checked. Similarly, an inspection completed before the current batch was made needs clarification.
Use the purchase-order guide to keep specifications and order references consistent.
If the inspector used an approved sample, identify which sample and version were provided. An old sample can leave the inspector comparing against requirements you later changed.
Our China sample-order guide explains why the reference sample and bulk order need a clear connection.
How do you read sample counts and defect results? #
Separate the total lot from the units inspected. A sample-based report does not mean the inspector examined every product.
Where AQL sampling was used, check the declared method, inspection level, sample size, defect categories and acceptance/rejection criteria.
ISO's catalogue lists ISO 2859-1:2026. Ask which standard and edition the provider actually applied; do not assume every report or calculator uses the same version.
For this example, an agreed major defect is a case that does not fit the specified phone model.
Consider these fictional report figures for reading practice:
- Order quantity: 1,000 plain phone cases.
- Inspected sample: 80 cases.
- Illustrative major-defective-unit criterion: accept up to two; reject at three or more.
- Recorded major-defective units: four.
Those findings fail the stated major-defect criterion. The figures are not a recommended sampling plan or a quotation from ISO tables.
They also do not establish that the remaining 920 cases are defect-free.
Read other categories and checks separately. A satisfactory appearance result does not cancel a failed quantity or function check.
Ask whether a column counts individual defects or defective units. One product can have several findings, so avoid adding numbers without understanding the counting method.
Which photographs and tests deserve closer attention? #
Look for photographs that identify the goods, packaging, labels and reported defects. Match the images to the model and variant being discussed.
For example, a missing accessory, wrong plug or incorrect model label should be checked against your actual specification. Do not rely only on whether the item looks attractive in an overall photograph.
Read the test scope and the number of units checked for each test. The sample used for a particular function test may differ from the sample used for visual inspection.
Check every item marked untested, not applicable, incomplete or inconclusive. Ask what that wording means in the issuer's reporting system and whether it leaves an agreed requirement unresolved.
If equipment, reference information or a required sample was unavailable, ask how that limitation affects the result.
A routine product inspection should not be treated as proof of every safety test, material property or regulatory approval. Check the separate evidence your product requires using our product-certificate guide.
What should you do with failures or missing information? #
List the unresolved points by report section or photograph reference. Send the list to the appropriate inspector and supplier so everyone is discussing the same findings.
You can adapt this message:
Hello. Please clarify report [reference] for order [reference]. We need confirmation of [batch/model issue], an explanation of [result or missing test], and the proposed action for [defect]. Please state which units are affected, how correction will be checked, and whether an updated report or reinspection is required before the next agreed milestone.
Record the proposed repair, replacement, sorting or other corrective action. Ask what evidence will show that the problem has been addressed.
Agree the scope, timing and responsibility for any reinspection costs. Do not assume another inspection is automatically free.
Review the payment and acceptance milestones in the existing agreement. Our supplier-deposit and balance guide explains the points to settle before committing money.
Keep the original report and subsequent responses together. If a problem later reaches Nigeria, our damaged-goods guide explains how to organise the order and receiving evidence.
How do you connect the inspected goods to the shipment? #
Confirm what happened after the inspection date. Ask whether goods were repaired, repacked, replaced or added to the lot.
QIMA's service terms explain that a report reflects findings at the inspection time and within the assignment's scope. Later changes therefore need their own evidence or clarification.
Reconcile the approved quantity, carton count, packing list and identifying marks before dispatch. Record changes rather than assuming the inspection document updates itself.
If you require loading supervision or another handover check, agree that service separately. A product inspection and supervision of what enters a container answer different questions.
Keep a clear decision record: what was accepted, what remained outstanding, who approved the next step and which report version supported it.
For ChinaBridge Global assistance with inspection coordination, send the product specification, quantity, supplier details and inspection requirements. Agree the service scope and fees first. A particular report's technical questions should also go to its issuer.
What else do Nigerian buyers ask about inspection reports? #
Does a China inspection report cover every unit? #
Check its stated scope and sample counts. Sampling examines selected units. Even a broader inspection needs its test scope reviewed; an overall result does not establish that every possible defect was checked.
Does “PASS” mean I should pay immediately? #
Review the detailed findings and the milestones in your agreement. Clarify unresolved requirements and exceptions before deciding what the report supports under that agreement.
Can the supplier send only the summary page? #
Ask for the full report through an authorised channel. You need the detailed results, limitations, photographs and references to assess what the summary means for your order.
Does AQL 2.5 mean only 2.5% of my order was inspected? #
No. The AQL value and the sample quantity are different parts of the inspection plan. Check the actual sample size and acceptance/rejection criteria rather than interpreting the AQL as the percentage inspected.
Can an inspection report replace product approvals? #
Check the documents required for the particular goods. An ordinary inspection report does not automatically establish the separate approvals or laboratory evidence your product may need.
Who should pay for reinspection after a failure? #
Check the inspection-service terms and supplier agreement. Confirm the payer and scope in writing before booking. A supplier's promise to cover a cost should be recorded clearly.
What if the report contains the wrong model or quantity? #
Ask the issuer to clarify the discrepancy and its effect on the findings. Establish whether it is a document error, a different inspected lot or another issue before relying on the report for your order.
